This policy explains how CAMPBUDDY LTD ("we") handles personal data when you use our website, demo and food safety app. We follow UK GDPR and the Data Protection Act 2018.

Who we are

Safeguard Kitchen is operated by CAMPBUDDY LTD, company number 17178588. Registered office: Office 18630, 182-184 High Street North, East Ham, London, United Kingdom, E6 2JA.

For account, billing and marketing data CAMPBUDDY LTD is the controller. For records your business logs in the app (staff names, signatures, checks) your business is the controller and we act as its processor, only following its instructions. For privacy matters, write to CAMPBUDDY LTD at its registered office above or submit a data request from your account.

What we collect

We collect the account, business and kitchen information needed to provide the service, together with security data and your marketing choice.

• Account details: name, email address and an encrypted (hashed) password.
• Business details: venue name, address and public FSA hygiene rating.
• Kitchen records: temperatures, checklists, deliveries, cleaning, training, signatures and photos.
• Technical data needed to keep you signed in and keep the service secure.
• Your marketing choice, if you opt in to product news.

Why we use it (lawful basis)

Processing supports your contract, security and your business’s recordkeeping obligations; optional marketing requires consent.

• To provide the service you signed up for — contract.
• To send sign-in links, password resets and essential account notices — contract.
• To keep the service secure and prevent abuse — legitimate interests.
• To keep food safety records for inspections — legal obligation of your business.
• To send product news and offers — consent only, which you can withdraw at any time.

Who we share it with

We never sell your data. We use trusted providers to run the service: secure cloud hosting and database storage, an email delivery provider, and an AI provider for generating risk assessment drafts (only the kitchen type, equipment and chemicals you enter are sent — no staff personal data). FSA rating lookups use the public Food Standards Agency register.

How long we keep it

Retention depends on the service and your documented recordkeeping needs; no fixed kitchen-record retention period is promised here.

• Kitchen compliance records: retained to provide the service and support your business’s documented recordkeeping needs. Contact us about retention and closure before relying on a particular retention period.
• Account details: while needed to provide the service, then handled through a closure request, subject to documented legal and recordkeeping requirements.
• Marketing consent: until you withdraw it.
• Demo data: stored only in your own browser; clear it any time by clearing site data.

Security

Data is encrypted in transit, each business can only see its own records, passwords are hashed and checked against known leaked passwords, and original logs are protected from routine editing or deletion. Signed amendments remain separate. Lawful data requests and retention decisions are handled separately.

Your rights

You can ask to access, correct, export or delete your personal data, object to processing or withdraw consent. Submit a data request from your account or write to our registered office; we will reply within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.

Cookies and advertising measurement

We use essential storage to keep you signed in. Only if you accept advertising cookies, we use the Meta Pixel to share page visits and free-trial/demo sign-up events with Meta Platforms Ireland Ltd to measure our ads.
